Considerations for Batch Upload

The following are important considerations before performing a batch upload of third parties. Carefully read through these considerations, as well as the batch upload/template instructions before proceeding.

 

When Using Batch Upload Template

  • Batch upload templates are generated based on your current RiskRate configuration. So, if your organization has requested any configuration changes, you must download the template to include the latest updates.

  • Do not remove any unused columns, tabs, or rename any columns or tabs found in the template spreadsheet. Changing any of these key components to the template can cause issues with the batch upload.

  • Pay close attention to the codes listed in the Code Lists tab of the template, and note the following:

    • Certain countries need a location code. United States of America (US) requires a State Code, and Canada (CA) requires a Province Code.

    • If a column requires a code to be entered rather than a specific value, enter the code as listed within the Code Lists tab.

  • Use the appropriate template for the upload type. For third parties, use the Third Party template for Organization or Person (based on third party type). For Additional Entities, use the Additional Entity template. Otherwise, it will not work or upload properly.

 

When Performing a Batch Upload

  • Start with a small batch. Instead of attempting a large batch upload for the first time, try a small subset first as it is easier to identify and fix errors.

  • If using Batch Upload to update/modify existing third parties, make sure to include the third party ID assigned for each existing third party. This will prevent the creation of duplicate third parties.

  • There is an upload limit of 5,000 third parties per day.

  • If you have Business Rules in place to automate requesting a screening, do not request screenings as part of a batch upload; the system will do this automatically once the third parties are added.

  • If uploading third parties that are organizations and third parties that are persons, you will need to perform separate batch uploads for each third party type.

  • Because our data partner stores the screening information for organizations and persons in two separate databases, it is important that you use the correct upload template to upload third party information. In addition, if a person is also registered as a DBA (doing business as), LLC, or incorporated entity, you should upload (or manually create) that entity both as a person and as an organization so that both screenings can be done.

  • If using batch upload to request that a third party contact complete a questionnaire, the third party contact email must be present.

  • If validation presents errors, the row in which the error is occurring will accompany the error along with the description of the error. This can help identify and troubleshoot the issue.
