Reviewing Assessments

Important: Only Level 1 & Level 2 users granted the specific permission can review/manage assessments submitted from the third party assessment site.

Reviewing assessments allows designated users to view submitted questionnaires in read-only mode, reviewing all the questions and available answers. After reviewing, there are several courses of action the reviewer can take, which are stated and described below.

To begin reviewing assessments:

  1. Click Review from the Action column (of the Onboarding Assessments page). The Review Assessment page displays.

  2. Click through each section of questions on the left to review answers.

    In addition to the submitter's answers, the Review Assessment page displays the following information:

    • Entity Type – Type of entity (Organization or Person)

    • Risk Rating – Rating of the risk level assigned to the third party (Green, Yellow, Red, or None)

    • Profile Risk – Level of risk assigned to the third party (Low, Medium, High, or NA)

    • Created – Time stamp of when the assessment was created

    • Last Updated – Time stamp of when the assessment questionnaire was last updated

    Note: A separate last updated time stamp will be available for each answered question.

  3. After reviewing the questions and answers, choose one of the following actions:

    • Request Changes – Request changes and submit back to responder

    • Accept – Accept the data submitted within the assessment. Once accepted, users can add to an existing or create a new third party.

    • Deny – Deny the data provided in the assessment

    • Add/View Comments – Add and view comments among assessment Reviewers only

Request Changes

This option allows you to provide feedback to a submitter and request changes to the assessment. Clicking Request Changes updates the status to Revisions Pending and sends a notification to the submitter. The submitter will see any feedback provided. After a submitter reviews comments, makes changes, and resubmits the assessment, the status is updated and all Assessment Reviewers are notified.

To request changes:

  1. From the top of the assessment, click Request Changes.

  2. Enter Comments to provide information about what changes are requested. These comments will apply to the overall Assessment. You can also add question-specific comments prior to requesting changes.

  3. Click Request Changes.

    The status updates to Revisions Pending.

    Additionally, the submitter will see it in the list of Assessments with an updated status of Revisions Requested. The submitter can View Comments and also click Update Assessment to review their answers and resubmit.

Deny

This option allows you to Deny the data provided in the assessment. Clicking Deny changes the assessment status to Denied and sends a notification to the submitter. Submitters will see any feedback provided. No Third Party record will be created.

To deny the assessment:

  1. From the top of the assessment, click Deny.

  2. Enter Comments to provide information about why the assessment is denied.

  3. Optionally, select the Delete and remove this assessment check box if that action is desired. This cannot be undone. If left unchecked, the assessment remains on the Manage Assessments page after clicking Deny, but can be deleted later.

  4. Click Deny to perform the action.

    The status updates to Denied.

Add/View Comments for Reviewers

This option allows you to add comments that will only be viewable by other Reviewers, as well as view comments made by other Reviewers.

To add a comment:

  1. Click Add/View Comments.

    An Assessments Comments window displays.

    Note: If any comments already exist, they will be viewable here.

  2. Select who should be notified about the comment by using the drop-down list.

    Note: Depending on the selection, this will send an email notification to either all Reviewers or the individual user. The email includes a direct link to the review assessment page.

  3. Enter a comment in the text box area and click Add Reviewer Comment.

    The comment is added to the Assessments Comments and will include the Reviewer's name, a time stamp of when the comment was added.

 

Export to PDF

As a Reviewer, you can export assessment responses to an Adobe PDF document for further analysis.

Click Export to PDF located at the top of the assessment to download and then open the document.

The exported PDF contains the following headers for question categories: Question Text, Response, Last Updated, and Score.

 

Translate All Responses

The system can provide translations if a Responder has answered the questions in another language. It uses a machine-based translation service to provide translations of Responses.

  • Click Translate All Responses to translate in your source language.

Translations appear below the original response with a prefix of "Translation:".

Tip: Once translated, you can use the Translate All Responses button to toggle between showing and hiding the translated responses.
